Age UK Islington: The Benefit of SharePoint

Updated: May 28, 2018

Age UK Islington is the first port of call for help and advice for thousands of older people and sits between the established state providers, social services and a whole range of informal, voluntary support organisations.

The charity needed to find a way of coordinating its activities, linking in with partner organisations and getting often sensitive information out to those working on the front line in order to maximise the productivity of the small team.

It was also crucial to demonstrate to potential funders through accurate performance data that Age UK Islington was a credible organisation that was run efficiently and effectively and therefore worth the investment.

Chief executive Andy Murphy was attracted to Microsoft SharePoint as a tool to publish and share information already held on the charity specific contact management system, Charitylog, and to automate workflow processes in order to deliver services that were fully compliant with best practice.

Program Framework worked with Age UK Islington to implement Andy’s vision, bringing everything together on a system that was set up and configured to meet the twin needs of accessibility and security. “We assisted with creating a suite of templates, process automation, building a security model and validating the infrastructure, together with the installation of the software and configuration of SharePoint Enterprise 2010 as an internal and external business intelligence tool” explained Gero Renker, director of Program Framework.

Age UK Islington’s solution is an Intranet and Extranet based on SharePoint 2010 Enterprise. User access is controlled through a role based security model driven by Active Directory. Site templates have been created to easily deploy portals to external parties such as commissioners and partner organisations.

Internal users benefit from SharePoint’s document management features. SharePoint’s workflow capabilities with Infopath forms help to automate collaborative processes such as complaints handling.

Custom dashboards are available built on SharePoint’s Business intelligence features, making use of Excel Services and PowerPivot, SQL Reporting and Performance Point services. Data is retrieved from a SQL Server Analysis Services data warehouse.

All those who regularly use IT are now comfortably using SharePoint. It has given them more ownership of their areas of work and allows them to respond to requests more quickly. Because all the data and information is automatically available, they don’t have to spend time compiling reports, so freeing them for more productive work.

Added Gero Renker: “It has given Age UK Islington modern systems and processes that will improve its service and enhance its reputation and perception in the funding market.
